Garment Sample Revision Feedback: Turn Vague Comments into Checkable Changes

Garment sample revision feedback needs to connect an observed problem to a specific sample, a location and a checkable next step. “Make the waist better” leaves the factory to guess whether you mean fit, height, elastic tension or appearance. A useful comment separates what you saw from the correction that still needs technical review.

Download the sample revision worksheet. The blank worksheet is a suggested working format; the examples below are fictional and are not Sanchuan customer records.

Identify the sample before describing the problem

Record the style, sample ID, size, material reference and specification revision. Give every photograph the same sample ID and a comment number. State whether a measurement is flat or circumference, its unit and the measurement point definition. If the sample uses a substitute fabric, record it before comparing fit.

Two public buyer documents illustrate why this matters. Colony Brands' October 2017 fit-sample requirements ask for identified samples, measured results and vendor comments. DXL Group's August 2022 product-development requirements connect fit evaluation to revision comments, approval status and subsequent samples. These are dated examples of those buyers' workflows, not current requirements for every apparel order.

Write one observation per comment

Use four connected parts: location, evidence, requested action and verification. Add an owner and a response status so a question does not disappear between sample rounds.

The waist is too bigSample FIT-02, size M: flat relaxed waist measures 35 cm against the agreed R3 target of 34 cm. See photo C01 using the agreed measurement method. Please confirm the measurement and investigate the correction route; submit a revised sample for remeasurement.Pattern adjustment and effect on stretch and comfort need review.
The strap digs inSample FIT-02: the wearer reports pressure at the left shoulder during the recorded arm-raise movement. See photo C02 and the movement note. Please review strap length, attachment and fit balance, then propose a trial. No strap-length change is approved from this observation alone.
The logo is wrongThe sample uses artwork A1, while the reviewed reference is A2. Confirm which file was used and submit an A2 proof at the specified size and position.Proof acceptance and any material or process changes remain open.

The numeric example is invented to demonstrate the field structure. It does not establish a universal tolerance or instruct a factory to remove 1 cm from a pattern. Garment measurements and pattern dimensions are different decisions.

Separate an investigation from an approved change

Use a clear action type: investigate, propose a correction, make a trial, or implement an approved revision. If a target has not been agreed, leave the target field open and explain which evidence is needed to decide it. Do not fill a missing target with a number inferred from a photograph.

Ask the supplier to reply against each comment ID. A reply should identify its proposed correction, affected specifications and the next proof. If changing one measurement could affect another, have the technical reviewer resolve that relationship before updating the controlled specification. Store the accepted revision separately from an unapproved proposal.

Close the comment with fresh evidence

  1. Keep the original observation and photo reference.
  2. Record the supplier response and the reviewer's decision.
  3. Identify the new sample and specification revision.
  4. Repeat the agreed measurement or observation method.
  5. Record the result and who accepted it; unresolved items stay open.

A supplier saying “changed” is a response, not a verified result. If the sample ID, fabric or measurement method differs, explain the difference before treating two results as comparable.

State what the decision covers

“Comment C01 closed after remeasurement of FIT-03 against R4” is a narrow decision. It does not approve every color, label, packaging detail or the production order. For the broader approval decision, use the sample approval checklist. Keep this worksheet focused on making individual revision comments actionable.

When asking Sanchuan to discuss a sample, share the style reference, current revision and numbered observations through the contact page. Technical feasibility and the next sampling step need confirmation for that project.
